MailChimp Guide for MLG Communications

This MailChimp account is to be used exclusively for communications related to MLG seminars and for internal MLG group announcements. It should not be used for any other purpose.

Note for Seminars: The seminar announcement email should be sent out again the day before the event.

  • 1. Connecting to MailChimp

  • Verification and Security

  • If a verification code is required, it will be sent to the ulbmlgmanager@gmail.com account. Please refer to the “MLG email adress” page for access credentials.
  • If you are prompted to answer security questions, use one of the following:
  • Number of floors your company occupies? Nine
  • What kind of coffee do we serve at your company? Black
  • What brand of coffee maker? Nespresso

  1. Connect to the MailChimp account.
  2. Navigate to Audience > All Contacts.
  • How to Add a Subscriber

You have two options to add a new subscriber:

Option A: Share the Subscription Link * Provide the person with the following public subscription form link: http://eepurl.com/ibCTyf

Option B: Add Manually Through MailChimp 1. Log in to MailChimp. 2. Navigate to Audience > All Contacts. 3. Click the “Add contacts” button, and from the dropdown, select “Add a subscriber”. 4. Fill in the required information on the page. 5. Click Subscribe.

  • 3. Sending an Email to the Distribution List

  1. Log in to the MailChimp account.
  2. Click the “Create” button.
  3. Choose the email builder.
  4. In the “Select a template” screen, go to the “Saved templates” tab and choose the “MLG Seminar” template.
  5. Modify the template’s text boxes and images with the relevant information in the following order:
  • Title of the talk
  • Name of the presenter
  • Abstract
  • Biography and photo of the speaker
  • Place and time of the seminar
  1. After saving the content, fill out the email sending details:
  • From Name: Use “ULB MLG Seminar” (not “manager”).
  • Audience: Target everyone (and add the speaker if they are not on the list).
  • Subject Line: Use a clear format (e.g., ULB MLG Seminar – [Title of talk] – [Date+hour]).

  • 4. Seminar Organization Checklist (Beyond Mailchimp)

When organizing a seminar, remember to also perform these tasks:

  • Teams: Post an announcement of the seminar in the MLG group channel on Microsoft Teams.
  • Website: Ask the MLG webmaster(s) to add an announcement for the seminar on the MLG website.
  • Calendar: Update the MLG calendar with the location of the seminar (or the Teams link for remote seminars).
